Dental4Windows or Dental4Web: what does each mean for your IT?

The difference is where patient data lives, and so who keeps it safe. Both are Centaur Software products, and we support either.

Dental4Windows (D4W): the server is yours

Centaur describes D4W as on-premise, with practice-controlled backups of patient data on your servers. Your appointment book, charts and billing sit on hardware in your building, which needs disk monitoring, a battery backup against power dips, scheduled patching, backups proven by test restores, and secure remote access for the dentist checking tomorrow's list from home. It should be a real server, not the reception PC doing double duty.

Dental4Web (D4Web): the cloud, with your network still in the loop

D4Web is Centaur's cloud subscription: staff sign in securely from anywhere with an internet connection, and Centaur handles the automatic updates and data backups. That removes the server, not the IT. Every chair now depends on the internet, so we add a secondary connection that takes over when the NBN drops (see business internet with failover). PCs still need patching, imaging devices still need their software, and logins to patient records need multi-factor authentication. Moving from D4W? We map the impact on your network and imaging first.

Why do X-ray sensors, OPGs and intraoral cameras need careful IT?

Because dental imaging is a chain, and an everyday IT change can break any link. Each sensor or camera needs the right driver on the right chairside PC, and every capture must land against the correct patient. Centaur says D4W's imaging integration stores scans and X-rays inside patient records, and its imaging range works with digital sensors, intraoral cameras, OPG and phosphor plate systems; D4Web's built-in MediaWeb PACS module uploads images to an Australian data centre within seconds of capture. CBCT reconstructs a three-dimensional volume viewed in specialised software, so workstation and storage matter too.

So we record which PC drives which device, test driver compatibility before updates reach the chairs, keep imaging archives in the backup set, and call in your imaging supplier when the fault is in the device. Are dental records covered by the Privacy Act?

Yes. The Office of the Australian Information Commissioner (OAIC) lists dental records, and appointment and billing details, as health information, and the Privacy Act 1988 covers health service providers regardless of turnover. Australian Privacy Principle 11 requires reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. A breach likely to result in serious harm must be notified to the affected patients and the OAIC under the Notifiable Data Breaches scheme.

In practice that means role-based access, multi-factor authentication on email and remote access, encrypted laptops and backups, logs of who opened what, and a written incident plan. We build and document those controls through cybersecurity for healthcare, so you hold evidence rather than good intentions.

How do you stop ransomware locking up a dental practice?

Assume an attacker will try to encrypt the practice data and delete the backups, then make sure neither works. Our 24/7 SOC watches the server and every PC for the activity that precedes encryption and can isolate an infected machine. Multi-factor authentication makes a phished password far less useful. Backups are immutable, so they cannot be altered or deleted during retention, even with an admin password, and restores are tested, imaging included. One caution: many ransomware groups now copy data before locking it and threaten to publish it, so backups get the chairs running again but do not undo the breach.

What happens if the server or the internet fails on a fully booked day?

With a plan, you keep seeing patients; without one, reception spends the morning rebooking. For D4W the weak point is the server: monitoring that flags a struggling disk before it fails, a battery for power dips, and a documented restore to standby hardware turn a crisis into a delay. For D4Web it is the connection, hence the secondary link. Either way, export tomorrow's appointment list each evening so reception can still work if every screen goes dark. Our engineers are based in Greensborough for hands-on jobs, though most issues are fixed remotely within minutes. We write it into a business continuity plan and test it.

Frequently asked questions

Do you support Dental4Windows and Dental4Web?

Yes. We look after everything both run on: the D4W server and its backups, the network, PCs, internet and sign-ins. Centaur supports the application; when a fault is on their side, we raise it with them for you.

Our X-ray sensor stopped working after an update. Can you fix it?

We start with the PC, because that is what an update touches: a replaced driver, a USB or power setting reset, or imaging software out of step with the practice software. We roll back what changed and bring in your imaging supplier if the sensor itself has failed.

Centaur backs up Dental4Web. Do we need our own backups?

The practice data inside D4Web is covered by Centaur. Your Microsoft 365 mailboxes, shared files and anything saved on local PCs are not, and they can hold patient information. We back those up separately.

Does a practice with only a few chairs need to worry about privacy law?

Yes. The OAIC names dentists among the health service providers the Privacy Act covers, and the small business exemption does not apply to them. Size changes how much IT you need, not whether the obligations apply.

Can you set up the IT for a new practice or a fit-out?
