Microsoft's own email migration guidance treats choosing the right path and validating each batch as core steps, not optional ones, in its mailbox migration documentation. Securing the destination as you build it also matters because a migration that moves personal information is still bound by Australia's Notifiable Data Breaches scheme, administered by the OAIC, and aligning the new environment with the ACSC Essential Eight hardens it from the outset.
The right time to migrate is before your server forces the decision: when the hardware is due for replacement, when its operating system is running out of security updates, or when remote staff are fighting a slow VPN to reach their files. Microsoft ends extended support for Windows Server 2016 in January 2027, after which it no longer gets security updates as standard, according to its Windows Server 2016 lifecycle page. On-premise Exchange Server 2016 and 2019 already reached end of support in October 2025.
A server migration is also worth planning when your office lease is ending, the business is moving premises, or one box in a comms cupboard has become a single point of failure for everyone. Starting the assessment a few months ahead leaves time to test applications, sort licensing and schedule cut-overs around your busy periods, instead of rushing the move against a deadline.

Four common moves each come with their own Microsoft limits, licences or deadlines.
This is two migrations side by side: mail, calendars and contacts move into Exchange Online in batches of users, and Google Drive files move into OneDrive and SharePoint with Microsoft's Migration Manager. Microsoft's Google Workspace migration guide notes that room bookings, shared calendars and event colours don't come across, and mail rules arrive switched off, so staff should check them in Outlook before switching them back on.
A file server can move to SharePoint, Teams and OneDrive once its folders fit Microsoft's SharePoint limits, which cap the full decoded path, including the file name, at 400 characters and each uploaded file at 250 GB, and recommend syncing no more than 300,000 files in a single library. When a merger, acquisition, rebrand or demerger moves staff into another Microsoft 365 tenant, their mailboxes and OneDrive files go too. Microsoft requires a Cross Tenant User Data Migration licence for every user moved: a one-time, per-user add-on that also covers OneDrive. Its cross-tenant mailbox migration guidance (updated 17 September 2026) says migrations fail without that licence and Microsoft offers no exceptions, so it belongs in the budget from the start.
If an office server still runs Windows Server 2016, plan its move before 13 January 2027, the day its last regular security update is due in Melbourne. After that, fixes come only through paid Extended Security Updates, a temporary bridge that covers security patches alone. Servers that mostly handle sign-in and shared files can retire into Microsoft 365, while applications that still need Windows Server move to Azure virtual machines.
